
Sometimes the hardest part of planning is getting started. Personal events are especially difficult with all the excitement and emotions surrounding the 'special day'.
With any project it's important to break the planning down into different steps. Trying to do everything at once is a recipe for disaster. When clients reach out they are often feeling lost and overwhelmed. The key is focusing on one piece a time.
Before looking at venues, vendors, flowers and color schemes start with the basic steps that will prepare you for the reaching out to venues and vendors.
Here are some classics to help you get started:
Who - We know who will be celebrating! (That would be too easy!). Start thinking about who to invite. A full guest list will come later, but try to get a general idea of numbers. (A range is fine)
What - what type of event do you want? What vibe are you looking for? Formal, cocktail, Rustic, Urban figure out what your tastes are and what suits your family and friends.
Why - OK this will be an easy one - you should know why you are celebrating!
Where - What location works best for you. Close to home? A destination event? How far are you willing to travel? Do you need easy access to public transporation? Will you provide transportation for guests?
When - What time of year is ideal for you? How far away? Do you need a specific day of the week? How flexible can you be about the date?
How - this one is divided in two. How and How much? How - how will you keep track of information. What works for you (spreadsheet, database, notebook, binder.) Find something that works for you. I like to store event files on the cloud using folders that I can easily access and share. How much? - What are you comfortable spending on your event. This is really important. You don't need an exact number but you should have a range. You may adjust this as you move forward but the budget plays a central role in many of the
planning decisions.
